4. Live Chat and Client Messaging

Our website and client portal include live chat and messaging features so we can answer your questions, help you choose a service, and support your order.

4.1 Website Live Chat

When you start a chat, we collect the name, email address and any phone number you provide
We keep a transcript of the conversation so we can follow up and provide consistent support
Chats may first be answered by our AI assistant, which uses the information on our website to give instant answers. The AI does not have access to your order history or payment details unless you share them in the chat
If the AI cannot answer your question, or if your request is personal (for example a refund, late order or custom quote), the chat is flagged for Allinta to review and reply personally

4.2 Client Portal Messages

Clients with a portal account can send and receive messages about their order, brief, documents and billing
These messages are stored securely and linked to your account email address so we can match them to the right order

4.3 How We Use Chat and Message Data

To respond to enquiries and provide customer support
To manage your order, brief, delivery and revisions
To send email alerts to our team when a message needs a personal reply
To improve our AI responses and website experience (we review anonymised transcripts only)

4.4 Retention

Chat and message transcripts are retained for 12 months after your last interaction, or for the life of your active order or retainer, whichever is longer. You can request deletion at any time by emailing hello@thecareerstudio.com.au.

5. How We Store and Protect Your Information

Your personal information is stored securely using industry-standard security measures including encrypted connections (SSL/TLS), secure cloud storage, and access controls. We retain your information for 12 months after order completion, after which it is securely deleted unless you request otherwise.
